Some coaching calls are about mindset. Others are about strategy. This one was *pure systems nerdery* at its finest.

There’s something deeply satisfying about watching the chaos that whirls around in my clients’ businesses organize itself into a plan. So often my clients have a million products, with zero idea how to leverage each when it comes to creating a plan of what to post and when on social media. This call is that.

My client calls hops on our Zoom. Four kids running around, husband out of town, casual Tuesday afternoon energy IYKYK.

“I shared this Airtable with you,” she says, and I can already hear the excitement in her voice.

She’s been working on something. Something big.

The spreadsheet that loads on my screen makes my brain light up immediately like the starry-eyed emoji. Every product she’s ever created. Earnings data. Blog post performance. Social media links. Photo assets organized.

“I want all marketing through back-to-school season to really focus on this bundle,” she explains. “All hands on deck.”

The bundle in question? Her signature collection. The products that get the most feedback and the ones that make the most money. The ones that make the biggest impact on teachers.

But here’s the thing about having 30+ products to promote. Where do you even start?

“When should I really hit the ground running?” she asks. “Like, every time you open Instagram, you see something from me?”

(This is where most people would start throwing darts at a calendar.)

Not us. Nope.

I have a better idea.

“Let’s look at your TPT dashboard,” I suggest. “Show me when people actually buy these things.”

We pull up her end-of-year product first. The one that made her serious money last year.

The graph doesn’t lie.

July 9th is when it started picking up steam. Peaked during the back-to-school sale. Stayed strong through September.

“So we post about this July 9th and August 12th,” I say as if it’s obvious (but I know it’s not because this when-do-I-post-what dilemma is something that has stumped every client of mine at one time or another).

Next up: her back-to-school resource.

A product that’s made thousands over the years but has been completely ignored recently. One photo from 2019. No blog traffic. No pins. No social posts.

“This is exciting,” I tell her. “It’s like finding money in your couch cushions.”

The data shows people start looking for this stuff in late June. We schedule it to hit her Instagram feed for July 1st.

The pattern emerges: data first, gut feelings second.

“Can we just add a calendar view to this Airtable?” I ask because lately I’ve been trying to get better at Airtable, but I’m nowhere near pro-level yet.

She clicks a button. Suddenly we can drag products directly onto dates.

My brain practically purrs with satisfaction. I don’t know if it was the coffee or what, but I was so giddy about getting all of her products so beautifully organized onto a promotional calendar.

This is systems working the way they’re supposed to work.

We spend the next hour going product by product.

Small group resource? August and September, when teachers are actually setting up data systems.

Classroom set up resource? Late July, during prime classroom setup season.

Birthday celebration resource? Earlier than she thinks – July, not August. Because the data dictates the date.

Every decision backed by when people actually searched, viewed, and bought.

“I love having a plan,” she says, and I can hear her kids somewhere in the background. It’s honestly the peace I see coming over her after a stressful past couple of days.

Same. There’s something about seeing three months of content mapped out that makes everything feel possible.

We’re not guessing anymore. We’re not posting random products on random days hoping something sticks.

We’re being strategic.

The really fun part comes when we start seeing the bigger picture.

July is all classroom setup content. Heavy on the practical stuff teachers need to get organized.

Early August builds toward the sale with high-engagement posts. Things people save and share.

Late August is about systems and planning. The deeper work of getting ready for students.

Each month has its own personality. Its own purpose.

“I could stay here all day,” she laughs. “Now I want to make shot lists and update listings.”

I feel the same way. Give me a spreadsheet, some data, and a clear goal, and I’ll work until midnight.

But we’ve done the important work. We’ve turned a overwhelming pile of products into a strategic plan.

What makes this different from most content planning?

We didn’t start with what felt good to post. We started with what people actually want to buy, when they want to buy it.

We didn’t guess at timing. We looked at years of purchase data.

We didn’t plan in isolation. Every post connects to the bigger goal of promoting her signature bundle.

The best part? This isn’t just for back-to-school season.

Next year, she’ll have this marketing calendar system locked and loaded.

She’ll know exactly when to post about parent-teacher conferences, when to promote her holiday products, when people start thinking about end-of-year activities.

The data builds on itself. Plusss…it gets smarter over time.

By the end of the call, we have three months planned out.

Her highest-earning products scheduled during their peak demand periods. Engagement-building content strategically placed before sales. Everything working together toward one clear goal.

“We’ll work on positioning these next time,” I tell her.

Because now that we know what we’re posting and when, we can focus on the how. The messaging that makes people stop scrolling and actually pay attention.

Some people think content planning is about inspiration and creativity.

Sometimes. But more often, it’s about systems and strategy.

It’s about looking at what actually works and doing more of it. About using data to make better decisions. About turning your business into a machine that runs itself.

The inspiration comes later, when you’re not stressed about what to post tomorrow.

After we hang up, I sit with what we just accomplished.

In under one hour, we took years of scattered products and sales data and turned it into a roadmap.

No more wondering what to post. No more panic-creating content at the last minute. No more throwing things at the wall to see what sticks.

Just a plan. Based on real information. Designed to actually work.

That’s the kind of coaching call that reminds me why I love this work.

The takeaway isn’t that you need Airtable or fancy spreadsheets. The takeaway is that your business is already giving you the information you need to make better decisions.

You just have to know where to look.
